How to restrict plan access to selected teams or users
Use plan permissions when a plan should only be visible or editable by specific teams or people.
This is useful for leadership plans, sensitive initiatives, private team plans, or work that should not be visible to the whole workspace.
Before you start
You need edit access to the plan to manage its permissions.
Workspace owners and admins can still access plans, even when plan access is restricted.
Restrict a plan
Open the plan you want to restrict.
Click the lock icon in the plan toolbar.
This opens the Manage plan permissions modal.
Under Everyone in this workspace, change the permission to none.
This removes default access for workspace members.
In the Teams section, click Add team.
Select the team that should have access.
Choose the team’s permission level:

Team members can view the plan but cannot edit it
In the People section, click Add person if specific individuals also need access.
Set each person’s permission to edit or view.
Close the modal when you’re done.
Example setup
If only the Product and Leadership teams should access a plan:
Everyone in this workspace
none
Product team
edit
Leadership team
view
This means:
People in Product can edit the plan.
People in Leadership can view the plan.
Other workspace members cannot access the plan unless they are added directly.
Workspace owners and admins can still access it.
Important notes
Team permissions apply to all current and future members of that team.
If someone is removed from a team, they lose the access they had through that team unless they also have direct access or belong to another team with access.
Team permissions are separate from linking a team to a plan. Adding a team in plan permissions grants access. Linking a team elsewhere only associates that team with the work.
Avoiding lockouts
When you set Everyone in this workspace to none, make sure at least one team or person has edit access.
Tability will warn you if a change could remove the last explicit editor or lock you out of the plan.
Troubleshooting
If someone cannot access the plan, check that:
They belong to a team with view or edit access, or
They have been added directly in the People section, and
The permission is not set to none for everyone without another grant.
If someone can still access the plan, check whether:
Everyone in this workspace is set to view or edit.
They belong to another team with access.
They have a direct person permission.
They are a workspace owner or admin.
