# Import OKRs and KPIs with AI

Tability's AI Importer turns an XLSX or CSV spreadsheet into a proposal that you can review before anything is added to your workspace.

The importer has two separate options:

* **Import OKRs** finds Plans, Objectives, Key Results, and initiatives.
* **Import KPIs** finds KPI groups, KPIs, starting values, dated targets, and actual values.

Tability sends your spreadsheet to AI for analysis. AI can make mistakes, so review the proposal carefully. Nothing is created until you confirm the import.

## Before you begin

* The AI Importer accepts **XLSX and CSV files up to 10 MB**.
* Each successful OKR or KPI analysis costs **250 Tability AI credits** when you use Tability's AI service. Credits are only charged when the proposal is ready.
* If your workspace uses its own AI key, the analysis does not use Tability AI credits.
* AI must be enabled for your workspace, and you need permission to create Plans.
* A spreadsheet that contains both OKRs and KPIs must be uploaded once through **Import OKRs** and once through **Import KPIs**. Each importer only creates its corresponding type of content.

## Prepare your spreadsheet

You do not need to use a fixed template. The AI Importer looks at the workbook as a whole and uses sheet names, headings, labels, indentation, units, and surrounding content to understand your data.

You will get better results when you:

* Give Plans, Objectives, Key Results, initiatives, KPI groups, and KPIs clear titles.
* Use separate columns or labels for owners, teams, dates, starting values, targets, and actuals where possible.
* Include an owner's email address when you have it. Email addresses provide the most reliable user matching.
* Include units such as `%`, `$`, `users`, or `days` with measurement values.
* Use `YYYY-MM-DD` dates for KPI targets and actual values. Ambiguous periods may be omitted rather than imported with an incorrect date.
* Use descriptive sheet names when a sheet represents a team, department, Plan, or KPI group.

## Start an AI import

1. Open **Plans** in your workspace.
2. Open the import menu and select **AI Importer**.
3. Choose **Import OKRs** or **Import KPIs**.
4. Select your XLSX or CSV file.
5. Click **Analyze spreadsheet**.

Analysis happens in the background and can take a few minutes. You can safely leave the page while it runs. The draft remains available in **Import history**, and Tability emails you when the proposal is ready to review.

If your analysis fails, open the draft from Import history and select **Retry analysis**. Failed analyses are not charged.

## Import OKRs

Use **Import OKRs** when the spreadsheet contains Plans, Objectives, Key Results, or initiatives.

Tability will try to:

* Identify explicit Plans and their timelines.
* Infer a useful Plan grouping from sheet or workbook context when OKRs do not have an explicit Plan.
* Place Objectives, Key Results, and initiatives in the correct hierarchy.
* Detect measurement direction, starting values, target values, formats, owners, and teams when the evidence is clear.

If a measurement is incomplete or uncertain, Tability may keep the Key Result without the uncertain measurement. This avoids blocking the entire proposal or inventing a value.

Plans are **published by default** when imported. Open a Plan's details in the proposal and enable **Keep as draft** if you do not want that Plan published immediately.

## Import KPIs

Use **Import KPIs** when the spreadsheet contains operational metrics, starting values, targets, or actual values.

Tability will try to:

* Identify KPI groups and KPIs without requiring specific column headings.
* Detect KPI direction and preserve percentages, currencies, abbreviations, and negative values.
* Import starting values when they are clearly identified.
* Import targets and actual values that have a valid numeric value and an explicit date.

When no clear group exists, Tability places the KPIs in an **Imported KPIs** group. The KPI importer does not create Plans or OKRs.

Uncertain values, invalid dates, and unattached KPI data are omitted rather than turned into blockers. You can review any skipped-data summary before importing.

## Review the proposal

The proposal is a private, autosaved draft. No Plans, OKRs, initiatives, KPI groups, KPIs, targets, or actual values exist in your workspace yet.

Use the review filters to focus your work:

* **All** shows everything found in the spreadsheet.
* **Needs fixing** shows included items with an issue that blocks the import.
* **Needs attention** shows included items that Tability recommends reviewing, but that do not block the import.
* **Excluded** shows unchecked items that will not be created.

Select an item's title to open its details. From there you can edit common fields, open advanced settings, or choose whether the item is included in the import.

You can review and change:

* Plan titles, timelines, owners, teams, hierarchy, and draft status.
* Objective titles and descriptions.
* Key Result titles, owners, and measurements.
* Initiative titles and owners.
* KPI group names.
* KPI names, owners, starting values, direction, targets, and actual values.

The checkboxes in the outline control what will be imported. Excluding a parent also excludes its required children. Including a child automatically includes the ancestors that it needs.

### Owners and teams

Tability matches existing workspace members by exact email address first, then by a unique matching name. Unmatched or ambiguous people are listed separately and remain unassigned unless you select an existing member.

The importer never creates new users or teams.

### Duplicates and issues

Possible duplicates are excluded by default. The importer does not merge with or overwrite existing Plans or KPIs.

Only genuine structural or data problems block the import. Warnings, unmatched people, low-confidence interpretations, and omitted uncertain measurements can be reviewed without preventing you from continuing.

## Complete the import

1. Resolve any items shown under **Needs fixing**.
2. Confirm that the items you want are checked.
3. Review the Plan and KPI counts in the import summary.
4. Select **Import**, then confirm.

Tability creates the selected records together. If part of the import fails, none of the records are created and the proposal remains available so you can fix it and retry.

When the import finishes, the completion screen links to the Plans, KPI groups, and KPIs that were created. The completed import also remains in Import history until you delete it. Deleting its history does not delete the imported records.

## Troubleshooting

### A value or target was not detected

Make sure the spreadsheet clearly labels the starting value, target, unit, and measurement direction. For KPI targets and actuals, use an explicit `YYYY-MM-DD` date. Re-upload the spreadsheet to get a new interpretation.

### A person was not matched

Add the person to the workspace before importing and use their workspace email address in the spreadsheet. You can also leave the item unassigned and assign an owner later.

### Analyze spreadsheet is disabled

Your workspace may have AI disabled or may not have enough AI credits. Workspace owners and administrators can review AI and billing settings. Other members should contact a workspace administrator.

### The analysis failed

Open the draft from Import history and select **Retry analysis**. If the file repeatedly fails, check that it is a valid XLSX or CSV file, is no larger than 10 MB, and contains readable data.

### I need the template-based or DOCX importer

The older importer is still available as **Legacy importer** from the Plans import menu. It supports the fixed Tability spreadsheet template and creating empty Plan structures from DOCX files.
