# Scheduled prompts

Scheduled prompts let you reuse an AI Mode prompt without rebuilding it each time. You can keep a prompt ready to run manually or schedule it to produce a recurring brief for selected workspace members.

Use scheduled prompts for routines such as:

* a daily list of items that need attention
* a weekly summary of OKRs, KPIs, and initiatives
* a weekly digest of activity from people you work with
* a monthly or quarterly leadership brief

## Open scheduled prompts

1. Open **AI Mode** from the left sidebar.
2. Click **Scheduled prompts**.

The page shows your saved prompts and templates for a **Daily Brief**, **Weekly Summary**, and **Weekly Team Digest**.

## Create a prompt

1. Click **New prompt**, or select one of the suggested templates.
2. Enter a clear **Title** so people can recognise the brief.
3. In **Prompt**, describe the report or analysis you want AI Mode to produce.
4. Choose a **Schedule**:
   * **Manual** keeps the prompt ready to launch when you need it.
   * **Daily**, **Weekly**, **Monthly**, or **Quarterly** launches it automatically.
5. For a recurring prompt, choose the requested day and time.
6. Click **Add recipients** and select the workspace members who should receive the brief.
7. Check the displayed next-run time, then click **Save prompt**.

Recurring prompts run in your workspace timezone. Tability shows the timezone and next run before you save so you can confirm the schedule.

## Write a useful recurring prompt

Recurring prompts work best when the scope and expected output are explicit. Include:

* the plan, team, KPI set, or timeframe to analyse
* the signals to prioritise, such as confidence changes, overdue check-ins, risks, or blockers
* the format you want, such as a short brief, action list, or leadership summary
* how AI Mode should handle missing evidence

For example:

Summarise this week's progress for the Product plan. Highlight wins, Key Results at risk, overdue check-ins, and decisions needed. Link the relevant Tability items and state when evidence is missing.
```

## Manual or recurring?

Choose **Manual** when the prompt is useful repeatedly but does not need to run on a fixed cadence. Choose a recurring schedule when people need the same brief at a predictable time, such as before a weekly review or quarterly planning meeting.
